My Top 5 Tips for Building a Sustainable and Successful Private Practice

 In Private Practice Support

Have you just started a private practice and suddenly feel very overwhelmed with all the things to keep track of, marketing you need to do, and that’s not even including getting to the client part? You’re not alone! Many Registered Clinical Counsellors (RCCs) enter private practice with deep clinical hearts but find themselves overwhelmed by the “business brain” required to keep the doors open. Building a successful practice in person in a city like Vancouver—or managing one as a digital nomad is about more than just filling a caseload; it is about the systems behind the sessions.

When I founded Haven Wellness Collective, I realized that to be the best counsellor for my clients, I had to create a business that was life-giving, not draining. Whether you are seeking clinical supervision to refine your craft or private practice consulting to scale your business, these are the first five things I would do to build your practice in a sustainable way!

1. Have a Website

In 2026, your website is your most important asset in your business. It works 24/7 to introduce you to the community before you ever speak a word. An easy-to-navigate, SEO-optimized website is essential to ensure the right clients and supervisees find you in a crowded digital landscape.

A professional site should be more than a digital business card. It needs to reflect your unique clinical voice and niche. This means fast loading times, mobile-friendly layouts, and clear “Call to Action” buttons that lead directly to your booking page. If you’re tech savvy this is totally something you can do yourself through Wix, Squarespace or WordPress, but if this is going to delay you too long I think it’s worth paying a professional to do it for you and have it done right! I have no regrets paying someone to do my websites, and sometimes these companies can help you SEO-optimize it at the same time – win-win!

2. Have an Easy-to-use Client Booking System

Efficiency begins with the right tools. Implementing a solid client booking system is the first step toward reclaiming your time and reducing administrative burnout.

I personally rely on Jane App to streamline everything from scheduling to secure billing. When your “admin brain” is supported by reliable software, you have more mental space for your “clinical brain.” I’ve found that clients like the ease and user-friendliness of Jane and it makes booking initial clients and consultation calls easy as it all happens in one place. If you are ready to integrate these tools, you can use my code AMYKOBELT1MO for your first month free. These systems allow you to manage your practice with ease, whether you are working from home, or travelling like I like to!

3. Strategic Marketing for Your Niche

Marketing doesn’t have to be a chore, but it does need to be strategic. You don’t have to do it all; you just need to be where your ideal clients are looking. Not every platform will be right for you and your niche. You don’t need to spend hundreds of dollars every month keeping up with each profile. My recommendation is to pick one and try it out for a few months and see how it does. Some of these include Psychology Today, Counselling BC, and the BC Therapist Finder(use code AMY5 for your first 3 months for free!). For a free 6 months on Psychology Today you can send me your email and I’ll send you a referral!

A critical, often overlooked tool is your Google Business Profile. By regularly updating your profile with clinical insights and business milestones—like the third anniversary of your practice—you boost your local SEO and build trust with your community. Marketing is ultimately about connection, showing potential clients that your practice is a safe, professional, and accessible space for healing.

4. Designing a Sustainable Schedule

Burnout is a real risk when you don’t have boundaries with your business. A life-giving practice requires a schedule you can actually sustain over the long term. This means moving away from exhausting 10-hour days and toward manageable time blocks.

I am a big believer in “Admin Rituals.” Pairing routine tasks with something you enjoy—like a latte at a favourite Vancouver cafe on Mondays and Fridays—turns a chore into a foundational part of your week. It is vital to give yourself dedicated time off, completely away from your practice and your clients, to ensure you stay energized for the work that matters. As an extrovert, I also love co-working with a friend or colleague. It breaks up the admin tasks, but also gives me some social time and a reason to get out of my sweats on my admin days!

5. Supervision and Consultation Support

Even if you’re a seasoned therapist, the “lone wolf” approach to private practice is a fast track to burnout. We spend our days holding space for others’ heaviest moments; having a dedicated space to process our own clinical work isn’t just a luxury—it’s an ethical and professional necessity.

The Power of Clinical Supervision

I’ve maintained constant clinical supervision throughout my years of practice, and it has been absolutely invaluable. It’s the place where I can be vulnerable about “stuck” points, refine my modality-specific skills, and ensure I’m providing the highest level of care.

Whether you are looking for clinical supervision for RCCs to meet registration requirements or you simply want a seasoned peer to help you navigate complex cases, that extra set of eyes keeps your practice safe and your clinical intuition sharp.

Private Practice Consulting: Don’t Reinvent the Wheel

When it comes to the business side of things, clinical training rarely prepares us for the reality of being an entrepreneur. When I first started, hiring a private practice consultant was the best investment I made.

There is a specific kind of peace that comes from talking to someone who has already “been there.” Instead of spending months googling how to set up a waitlist or manage a cancellation policy, a consultant helps you bypass the trial-and-error phase. It’s about building a practice that is life-giving—one that supports your lifestyle rather than draining it. If you are looking for some private practice support and want to see if I’m the right fit, please reach out and schedule a free consultation call, I’d love to meet with you!
