Building a successful practice in person in a city like Vancouver—or managing one as a digital nomad is about more than just filling a caseload; it is about the systems behind the sessions.

When I founded Haven Wellness Collective, I realized that to be the best counsellor for my clients, I had to create a business that was life-giving, not draining. In 2026, your website is your most important asset in your business. It works 24/7 to introduce you to the community before you ever speak a word. An easy-to-navigate, SEO-optimized website is essential to ensure the right clients and supervisees find you in a crowded digital landscape.

A professional site should be more than a digital business card. It needs to reflect your unique clinical voice and niche. This means fast loading times, mobile-friendly layouts, and clear “Call to Action” buttons that lead directly to your booking page. If you’re tech savvy this is totally something you can do yourself through Wix, Squarespace or WordPress, but if this is going to delay you too long I think it’s worth paying a professional to do it for you and have it done right! 2. Have an Easy-to-use Client Booking System

Efficiency begins with the right tools. Implementing a solid client booking system is the first step toward reclaiming your time and reducing administrative burnout.

3. Strategic Marketing for Your Niche

Marketing doesn’t have to be a chore, but it does need to be strategic. You don’t have to do it all; you just need to be where your ideal clients are looking. Not every platform will be right for you and your niche. You don’t need to spend hundreds of dollars every month keeping up with each profile. My recommendation is to pick one and try it out for a few months and see how it does. A critical, often overlooked tool is your Google Business Profile. By regularly updating your profile with clinical insights and business milestones—like the third anniversary of your practice—you boost your local SEO and build trust with your community. Marketing is ultimately about connection, showing potential clients that your practice is a safe, professional, and accessible space for healing.

4. Designing a Sustainable Schedule

Burnout is a real risk when you don’t have boundaries with your business. A life-giving practice requires a schedule you can actually sustain over the long term. This means moving away from exhausting 10-hour days and toward manageable time blocks.

I am a big believer in “Admin Rituals.” Pairing routine tasks with something you enjoy—like a latte at a favourite Vancouver cafe on Mondays and Fridays—turns a chore into a foundational part of your week. It is vital to give yourself dedicated time off, completely away from your practice and your clients, to ensure you stay energized for the work that matters. As an extrovert, I also love co-working with a friend or colleague. It breaks up the admin tasks, but also gives me some social time and a reason to get out of my sweats on my admin days!

5. Supervision and Consultation Support

Even if you’re a seasoned therapist, the “lone wolf” approach to private practice is a fast track to burnout. We spend our days holding space for others’ heaviest moments; having a dedicated space to process our own clinical work isn’t just a luxury—it’s an ethical and professional necessity.
